The Geoforum gives users the opportunity to retrieve and exchange knowledge and information with an active user community. The contributions on the forum are visible to all users. If you want to contribute on the forum you need to register. If you only want to read articles on the forum you do not need to register. During registration you need to provide your e-mail address and an username. You can choose your username as you wish. You are not obliged to provide your own name. Your username will be shown with the contributions you make as well as the date and time of contribution. By contributing to the forum, your data will be processed by PDOK.
Your email address will be used to send you an activation link. You can use this link to confirm your registration (or cancel your registration). Your e-mail address is also used on a regular basis to send you an e-mail with an overview of the latest activity on the forum. You can unsubscribe from these emails by clicking the unsubscribe link in the e-mail. We process your data to fulfill our public tasks bases on common interest. One of these tasks is to facilitate this forum.
We provide user statistics on the Geoforum. These shows how many contributions you have made to the forum. We also provide other user statistics on the forum such as since when you have been a member, how much time you have spent on the forum and how many posts you have read. This information cannot be linked to your e-mail address by other users. PDOK will never use your e-mail address (the only mandatory field that contains personal data) to make a link or connection with your statistics. The processing of your user statistics is (as far as we can speak of processing of personal data) to fulfill our public tasks of common interest.
During a registration it is possible (not recommended) to enter your first and last name. You may also use your first and last name as your username or use a well-known pseudonym that you use on multiple forums. These options are not mandatory and we do not recommend this as your identity can be retrieved without much effort and therefore it’s personal data. You can also add a photo to your profile. This is also not mandatory and not recommended It is important to realize that using your actual first and last name, using a known pseudonym and / or posting a photo can have an impact on your privacy, as anyone can potentially relate your identity to the content of your contributions and the user statistics. Also, your first and last name, known pseudonym and / or your user photo will appear in the above-mentioned email summarizing the latest discussions on the forum.
As you have entered your first and last name or a known pseudonym and / or have posted your user photo on your own initiative, more personal data will be processed and it is possible to make more links between your identity, the content of your contributions and the user statistics. You are primary responsible for this. By disclosing your first and last name and / or the use of your photo, you implicitly give permission for the additional processing of personal data. This permission can be withdrawn at any time (however, the processing operations prior to the withdrawal remain legally valid). Although you are primarily responsible for the additional processing of personal data, we nevertheless feel a general responsibility for processing your data cautiously and protecting it. PDOK therefore makes it possible for you to delete your account (more about this below).
You may sign up for “notification emails”. With these e-mails you will be informed if your username is mentioned on the forum or of someone has responded to a post or topic to which you have subscribed. By requesting these notification e-mails you give permission to process your e-mail address so that we can send you the relevant e-mails. This consent can be withdrawn at any time (however, the processing operations prior to the withdrawal remain legally valid).
PDOK saves and stores log files of the forum. The log files contain personal data, because the log files show from which IP address a certain action was performed and at which time. We process this personal data to fulfill our public tasks of common interest. PDOK uses these log files to guarantee, as much as possible, the reliability of the forum. Log files as an example can show which IP addresses are making unlawful use of the forum. Unlawful can be, for example, when a so-called “bot” automatically places advertisements on the forum. If the log files show illegitimate use, the computer in question (or more specifically: the associated IP address) can be blocked. In addition, the IP address can also be blocked in the event that the associated user has made evidently illegitimate contributions. Consider, for example, the posting of illegal material. The log files are not used for other purposes.
In case you delete your account, PDOK then anonymizes the contributions to the forum. This means that your username and possibly your first and last name will be replaced by the generic term “deleted user”. The content of the contributions will remain available. This is necessary for the promotion of the general interest because contributions in a general sense contribute to the proposed exchange of knowledge and information. In addition, there is an interest not to disrupt the logic of the forum. If you object against a certain contribution still showing (for example because it contains non-relevant personal data), we request you to notify PDOK of your objection. PDOK can then assess the situation on a case-by-case base and contact you regarding your objection.
